Quick Start Guide: Building an Offer in Gigwell Talent Buyer

Step 1: Create a New Offer

  1. Click the New Offer blue button on your dashboard.

  2. Select a deal type:

    • Flat Guarantee

    • Versus

    • Plus Bonus/Percentage

    • Straight Door Percentage

  3. Add Guarantee amount.

  4. Input the event date.

  5. Type the artist name you’re booking.

  6. Select your venue (auto-populates if you have only manage one).

  7. Enter the agent contact details and agency information.

  8. Configure booking presets for different deal types and venue settings.

  9. Click Create Offer to proceed.

Step 2: Configure the Deal

  1. Once you create the offer, it opens with multiple tabs on the left-hand side.

  2. Under the Agent tab, communicate with the agent about the booking status and any other type of messaging. It's like communicating with them via email.

  1. In the Terms tab, review the deal structure and you can include:

    • Additional bonuses (e.g., ticket tier bonuses, flat bonuses, etc)

    • Withholdings

  2. Navigate through other sections under Terms, including:

    • Offer (Financial items)

    • Logistics (add and customize event details, ticket scaling, payment details, venue notes, etc)

    • Tickets (ticket scaling, general admission, VIPs, ticketing fees)

    • Buyer Expenses (production costs, staffing, catering, ASCAP fees, etc.)

    • Artist Expenses (hotel buyouts, venue rental, additional artist costs)

Step 3: Add Event Details

  1. Under the Events tab, specify:

    • Event type, performance type, lineup, billing type, and performance length.

  2. Use the Schedule tab to input time entries such as:

    • Load-in, soundcheck, doors open, performance time, curfew, etc.

  3. In Tickets & Merch, add details like:

    • Merchandise rates, merch seller, venue capacity, age restrictions, ticket sales timeline.

Step 4: Assign Tasks

  1. The Tasks tab allows you to set internal tasks for your team, including:

    • Marketing approvals, booking flights, hotel arrangements.

  2. Assign tasks to relevant staff such as production, marketing, and executive teams.

Step 5: Define Payment Terms

  1. In the Payment tab, set up the payment schedule:

    • Specify deposit amounts and due dates.

    • Define balance payments (day of show, before show, etc.).

    • Choose between percentage-based or fixed payments.

Step 6: Finalize & Send Offer

  1. In the Offer tab, complete the six key steps based on the status of the offer:

    • Create offer sheet

    • Send offer sheet

    • Record agency response

    • Upload contract

    • Create settlement sheet

    • Send settlement sheet

  2. Under Offer Terms, specify standard contract terms.

  3. Use the Offer Sheet to generate and send the offer to the agency/artist.

  4. Attach documents such as tech specs, stage plots, or input lists.

  5. Use Settlement Sheet to finalize financials.

  6. Store attachments like artist photos and documents.

Step 7: Manage Itinerary & Changes

  1. The Itinerary tab helps you plan logistics such as:

    • Flights, hotels, ground transportation.

    • Pick-up schedules and advancing details.

  1. Track all booking changes in the Changes tab:

    • View updates on artist, buyer, agent, signer, and other contacts.

Now your offer is complete and ready for review!
