🔐 How to Manage Google 2FA in Your Agency Security Settings

This guide explains how to enable and manage Google Two-Factor Authentication (2FA) across your agency in Gigwell.

Accessing Agency Security Settings

  1. Click your name in the top-right corner of the dashboard.

  2. Select Settings from the dropdown menu.

  3. On the left-hand side, you’ll see your personal user settings.

  4. On the right-hand side, you’ll see your agency settings.

  5. Click the button on the top right of the agency settings box.

  6. In the left-hand menu, select the new tab called Manage Security.


Manage Security Settings for Users

Within the Manage Security section, you can manage access and security for all agents and assistants in your agency:

  • Each user will have a verified icon showing whether they have:

    • A password set

    • Google Authentication enabled

    • Or both

  • Click the three-dot menu next to each user to:

    • Unlink their Google Authentication

    • Log them out from all sessions


Enforcing Google Authentication for All Users

At the top of the Manage Security section, you'll find two toggle options:

Require agents and assistants to use Google Authentication

  • This is an agency-wide setting that only agent owners can enable.

  • Once turned on, all users must use Google Auth to log in—password login will no longer be allowed.

Exceptions for Members

  • If someone (e.g. a traveling agent) hasn't set up Google Authentication yet, you can temporarily add them to this exceptions list.

  • Users in this list can still log in using their email and password.

  • Once they’ve enabled Google Authentication, you can remove them from the exceptions list.


Restrict Authentication to Agency Domain Only

You can further increase security by restricting Google Authentication to your agency’s domain:

  • Use the Restrict Google Auth Domain option to enforce that users authenticate only with accounts tied to a specific domain.

  • This prevents users from logging in with personal Gmail or unauthorized domains.


Additional Info Per User

  • Under each user's name, you’ll also be able to see:

    • Their last updated time

    • Whether they have an active session

    • Which email address they’re using for authentication
