Save time and ensure consistency by setting default values for newly created events (bookings or calendar holds)

Event Defaults allows you to automatically pre-fill key details whenever a new event is created in Gigwell. whether it’s a booking or a bookingless event.

This helps standardize your workflow, reduce manual input, and ensure consistency across your events.

When configured, Event Defaults will apply to all newly created events. However, they are flexible. Only the fields you define will be applied.

Where to find it

The feature can be accessed in the agency backend settings > Calendar & Events > Event Defaults section.

How It Works

  • Event Defaults are applied automatically to every new event.

  • All fields are optional - only the fields you fill in will be used.

  • If a value is already set (for example via API), it will not be overwritten.

  • Users with permission to create bookings/events can use this feature.

Using Event Defaults with Booking Presets

Event Defaults work alongside Booking Presets, with clear priority rules:

  • Booking Presets can include their own Event Default settings.

  • If both are present, Booking Presets take priority over general Event Defaults.

  • You can also disable global defaults and apply them only through Booking Presets.

This gives you flexibility to define general defaults while still customizing behavior for specific booking scenarios.

Fields Available in Event Defaults

You can configure defaults across several sections, including:

  • Event Details

    • Event Type

    • Performance Type

    • Billing Type

    • Billed As

  • Performance Info

    • Performance Length (Hours & Minutes)

    • Minimum Age

    • Capacity

  • Tickets

    • Ticket URL

    • RSVP URL

  • Merchandise

    • Soft Merch %

    • Hard Merch %

    • Merch Seller

Best Practices

  • Use Event Defaults for commonly repeated values across most events.

  • Use Booking Presets when you need more specific configurations for different booking types.

  • Keep fields minimal—only set what truly needs to be standardized.
