Dynamic Phrases

Insert live booking data into your terms, offer sheets, and contracts using dynamic variables — no manual updates needed.

Overview

Terms and phrases in Gigwell now support dynamic variables — letting you embed live booking data directly into your terms, offer sheets, and contracts. Instead of manually updating terms for every booking, you can reference fields like event dates, venue details, supporting lineup, buyer expenses, or custom logistics data, and have them fill in automatically based on the current booking.

This feature is enabled by Gigwell support. Contact support if you don't see it on your account.

What's New

Once enabled, a few things change:

  • The Terms tab on bookings gets its own dedicated tab, separated from Logistics

  • The phrase management dialog has been completely redesigned with a three-column layout for faster editing

  • All terms inputs now support $ variables — type $ anywhere in a phrase to insert a dynamic field


Managing Phrases

The Add Phrases Dialog

Opening the Dialog

From the Terms tab on a booking or from the Offer/Contract tab, click Add Phrases to open the phrase management dialog.

The dialog has three columns:

  • Left — Type sidebar: Lists all phrase types (e.g., Accommodation, Backline, Catering Notes). Shows how many phrases you have selected from each type. Search or scroll to find a type.

  • Middle — Saved phrases: Shows all saved phrases for the selected type. Click the + next to a phrase to add it to the booking.

  • Right — Active phrases: Shows phrases currently added to the booking for the selected type. Edit them inline, reorder them, or remove them.

All Mode

Select All at the top of the type sidebar to see and edit every phrase across all types at once. Toggle Show empty types to show or hide types that have no phrases added yet. This is the fastest way to review and update everything in one pass instead of clicking through each type individually.

Confirming Changes

A counter at the bottom right shows how many changes you've made (e.g., "2 changed"). Click Confirm to apply all changes at once. Click Cancel to discard. Click Reset to revert to the last saved state.

Preview Interpolated

At the bottom of the dialog, click Preview Interpolated to see your terms rendered with actual booking data substituted for all variables — exactly what will appear in the offer sheet, contract, or document before anything is sent.

How to Insert a Variable

In any terms input field, type $ to open the variable dropdown. Search for the field you want to insert — all available report columns for the current context are listed.

  • Event Terms — event report columns are available

  • Offer/Contract Terms — booking report columns are available

Variable Formatting Options

Once a variable is inserted in a terms field, you can click it to configure formatting options. What's available depends on the field type:

Date fields — a format popover appears immediately on insert, letting you choose the date format (e.g., "January 15, 2026", "01/15/26", "Date Short"). Click the variable after inserting to also set a placeholder if the date is empty.

Single-value fields (e.g., text, number, date) — click the variable to set a placeholder to display if the field has no value on the booking.

Multi-value fields (e.g., Supporting Lineup, Buyer Expenses) — click the variable to configure:

  • Choose All values or First value only

  • Set a separator between values (default: ", ")

  • Set a last separator independently (e.g., " and ") to produce natural language lists like "A, B, and C"

  • Set a placeholder if no values exist

Note: The separator and last separator stay in sync by default. As soon as you manually change the last separator, they become independent.

Boolean fields (Switch) — click the variable to override the default Yes/No output labels.

Reports

Variables defined in terms are resolved when generating reports.

Offer Sheets / Offer Settlement Sheets

Terms added to the Offer tab with variables will render with live booking data when the offer sheet is generated.

Google Docs (Contract, Itinerary, Dealcard)

Variables are available as merge variables in the Google Docs document flow. They are listed on the Variables page for your agency — you don't need to look up IDs manually.
