Connecting Your Eventbrite Account
Navigate to your Settings page in Gigwell.
Locate Eventbrite in the list of integration options (alongside Google, Stripe, and PayPal).
Click to connect, then log in to your Eventbrite account when prompted.
Once authenticated, the integration is active, and you can begin linking events to your bookings.
π Note: If you don't see the Eventbrite option in your Settings, contact Gigwell support to have the Ticket Integrations feature enabled for your account.
Linking Eventbrite Events to a Booking
Open the booking in Gigwell and go to the Tickets tab.
Click "Link Tickets" in the Ticketing Table to open the Manage Dialog.
From here, you can link an existing Eventbrite event, manually link by event ID, or create a brand new event β see the options below.
Link an Existing Event
The dialog displays Eventbrite events within Β±3 days of the booking date, with the closest matches shown first.
Find the event you want to link and click "Link Event".
You'll then be prompted to map your ticket tiers β see Mapping Ticket Tiers below.
π Note: If you have access to multiple Eventbrite organizations, a dropdown will appear so you can select which organization's events to search.
Manual Linking by Event ID
If you can't find your event in the list, you can link it directly using the Eventbrite event ID.
Click "Link Manually" in the action bar of the dialog.
Enter the event ID in the "External Event ID" field.
You can find the event ID in your Eventbrite event's URL β for example:
ββhttps://www.eventbrite.com/manage/events/1986489194656/details
Once linked, you'll be prompted to map your ticket tiers β see Mapping Ticket Tiers below.
Create a New Eventbrite Event
Click "Create Event" in the action bar of the dialog.
Gigwell pre-populates the new event with booking information compatible with Eventbrite.
Before creating the event, make sure the start date and time, timezone, and ticket tiers are set β these fields are mandatory. If no end date/time is set, Eventbrite defaults to the start time.
Once created, you'll be prompted to map your ticket tiers β see Mapping Ticket Tiers below.
π Note: Events created through Gigwell are saved as drafts in Eventbrite β they are not published or available for ticket sales automatically. Be sure to review and publish the event on Eventbrite before promoting it.
Go to your Eventbrite account.
Open the newly created event draft.
Review the details and click Publish.
π Note: If you have access to multiple Eventbrite organizations, a dropdown will appear so you can select which organization the event should be created under.
Managing Linked Events
Mapping Ticket Tiers
After linking or creating an event, the dialog switches to ticket tier mapping. Gigwell automatically tries to match tiers by name:
If a name match is found (e.g., "GA" in Eventbrite β "GA" in Gigwell), the system suggests mapping those tiers together.
If no name match is found, the system suggests creating a new tier on the Gigwell side.
To exclude a tier from syncing entirely, select "Don't Link" from the dropdown.
Complimentary Tickets
Eventbrite doesn't have a built-in concept of complimentary tickets. Once a tier is linked, the complimentary tickets field in Gigwell is disabled. To track comps, create a separate free ticket tier in Eventbrite (e.g., "GA β Comp" alongside your regular "GA" tier).
Updating Tier Mappings
Once an event is linked, click "Manage Linked Tickets" to update tier mappings or unlink the event entirely.
You can also unlink individual ticket tiers by hovering over the Eventbrite icon in the ticket table and clicking "Unlink".
π Note: Unlinking an event does not delete your ticket tiers in Gigwell β it simply stops the sync. Once unlinked, you can update actuals and pricing manually again. The only data no longer available after unlinking is the Discount.
Syncing Ticket Data
When you link an event, Gigwell automatically detects ticket sales and refunds from Eventbrite and updates your booking once every 5 minutes.
To manually sync without waiting, go to the Tickets tab on the booking and click "Sync Tickets". To see when the event was last synced, hover over any of the Eventbrite logos in the ticketing table.
What Data Is Synced?
Once a ticket tier is linked, the following fields become read-only in Gigwell (managed by the integration):
Field | Description |
Actuals | Total tickets sold for the tier. |
Ticket Price | The ticket tier price from Eventbrite. |
Discount (replaces Comps field) | Total value of discounts applied to tickets sold. For example, if a $35 ticket was sold for $30, the $5 difference is captured here. Discounts are factored into your Gross Box Office Revenue (GBOR) calculation. |
Sharing Ticket Access with a Third Party
While the integration is primarily designed for event owners, owners can also share access with third parties so external collaborators β such as booking agencies β can view ticket counts.
π Note: These steps must be completed by the event owner. The role and permission setup only needs to be done once per Eventbrite organization and can be reused for future invites. Once the invite is accepted, the third party can link tickets in Gigwell.
Log in to your Eventbrite account.
Go to Organization Settings β Team Management.
Click Roles, then Create New Role.
Give the role a name (e.g., "Agency").
Enable the following permissions:
Reporting: Basic Reports (required) β allows access to basic ticket counts and price data.
Reporting: Advanced Reports (optional) β allows access to detailed ticket data including discounts. Without this, discounts will not sync to Gigwell.
Organization: Create Webhooks (optional) β allows Gigwell to automatically detect ticket sales and refunds in real time. Without this, only manual syncing will be available.
Click Create Role.
Go to Users β Invite Users, enter the third party's email address, and assign the new role.
Check Limited Event Access and select the specific events to share.
