Managing your login email

How to change the email you log in with, what the "already in the system" error means, and options for a second address.

Each Gigwell user has one login email address. Our team handles changes to it, and if you need a second address working in Gigwell, there are a few options depending on what you're trying to do.

Can I change the email address I log in with?

Login email changes are handled by our team. There's no reliable way to swap the address in place yourself, and trying to can leave you locked out of both addresses.

  1. Message us from the messenger, signed in to the account.

  2. Tell us which user the change is for, and the new address.

  3. We'll make the change and confirm which address is now the active login.

Once it's done, sign in with the new address. Keep using the old one and you'll get a sign-in failure that looks like a password problem but isn't.

If you see "already in the system and cannot update"

This means the address you're trying to move to is already attached to another user record. Don't keep retrying — message us from the messenger and tell us both addresses, and we'll sort out which record should keep it.

Can I add a second email address to my login?

Not on a single login. One Gigwell user has one email address, and you can't send from a second address on the same seat. If you need both addresses working in Gigwell, each one needs its own user. What you can do instead:

  1. Add a second user on the other address. Go to Settings → Manage Subscription → Agents → Add Member, enter the second address and a role, and save. This uses a seat and a pro-rated charge applies.

  2. Or forward the second address to the first at your email provider, so mail sent to it still reaches you. That won't let you send from it inside Gigwell, but it covers the case where people just have the old address.

  3. Or change your login address entirely, if you don't actually need both. Message us from the messenger and we'll take care of it.

Good to know

  • After an email change, the most common "I can't log in" cause is simply typing the old address. Check that first.

  • If you've changed your own address, your password stays the same unless you reset it.

  • If the person whose address is changing has left your agency, you probably want to deactivate them and add the replacement on a fresh address instead — that's something you can do yourself under Settings → Manage Subscription → Agents.

  • Sharing one login between two people isn't supported — concurrent sessions sign each other out, and activity can't be attributed to the right person.

  • If the second address is a shared team address like a bookings inbox, a second seat with its own role is usually the cleaner setup, so documents and conversations are attributed properly.

  • If a second address on one login is something you'd find genuinely useful, message us from the messenger and let us know — we track what people ask for.
