Most itinerary confusion comes from looking at one surface and expecting another to change. There are five, and they show different things. Here's how they fit together.
The five surfaces
The booking's Itinerary tab. This is where you build. Open a booking and go to Itinerary. Everything you add here — travel, ground transport, accommodation, activities, schedule items — is an entry. Nothing else in the list exists until entries exist here.
The generated itinerary document. The PDF you produce from those entries using a template. Its wording, layout, fonts and time format come from the template, not from the booking. If the document looks wrong but the entries look right, the template is what you want to change.
The Day Sheet (multi-itinerary). One document that pulls several bookings into a single tour document — sometimes called a tour book. An itinerary covers one booking; a Day Sheet covers a run of them.
The artist view. What someone on the artist side sees when they log in. It's a chronological day schedule: travel, ground, accommodation, activities and schedule. What appears here depends on the + Applies to setting on each entry and on the artist-side role's display settings. Note that contacts appear on the Summary tab, not the Itinerary tab.
The Google Calendar event. A synced event carrying the event name, venue name and address, performance time and duration, buyer and contact info, and native itinerary entries. It's a summary, not the full document.
Working out which one to fix
Entry missing for one person only → check that entry's + Applies to.
Entry missing for everyone on the artist side → check the artist-side role's display settings.
Everything present but the document reads badly → it's the template.
Document fine but the calendar event thin → that's the calendar's fixed field list.
Good to know
An empty Itinerary tab produces an empty document and a bare calendar event. Confirm entries exist before chasing anything else.
Artists can edit an itinerary you've shared with them, and that's deliberate — advancing is meant to be collaborative, so there's no setting to lock them out.
Entries always sort chronologically. You can't reorder them manually.
