Relinking Google after the account owner leaves

The person whose Google account is linked has left the agency

Your agency has exactly one linked Google account, and all your contacts and calendars live in it. If that account belonged to someone who's now gone, the important thing is what you do next — because deleting the mailbox is the one move that's hard to come back from.

Do this first

  1. Keep the mailbox alive. Don't close, delete or let the account lapse, even if the person has left. Deleting it takes your contacts and calendars with it.

  2. Ask your Google administrator to delegate access to that mailbox, or to reset its password and hand it to someone still at the agency.

  3. Confirm someone can sign in to it. Calendar shares and join invitations are accepted from that inbox, so you'll need access whenever you link a new calendar.

  4. Check which account is linked at Settings > Calendar & Templates > Calendars so you know exactly which mailbox you're protecting.

Once someone on your team can get into the mailbox again, everything carries on as before. Nothing needs to be relinked.

If the account is already gone, or you want to switch to a different one

Moving your agency to a different Google account means re-importing your contacts and relinking every calendar, and it's easy to lose data if it's done in the wrong order. This one needs our team — start a chat from the messenger and we'll get it set up. It's usually done on a short call so nothing gets stranded.

Have ready: whether the old mailbox still exists, whether anyone can still sign in to it, and which Google account you want to move to.

If calendars stop working but the account still exists

If calendars and contacts suddenly stop updating and the linked account is still live, its connection to Gigwell may have been revoked or expired — for example after a password change or a security review. Reconnecting isn't something to do from your side. Start a chat from the messenger and we'll clear and re-establish it for you.

Good to know

Because there's one linked Google account per agency, whoever controls that login controls your calendar and contact data. It's worth setting it up as a shared agency mailbox with more than one person able to get in, rather than tying it to any individual — that way a departure never becomes an emergency.
