You can link a Google calendar to an artist in two places. Both do the same thing, so use whichever is handy.
Link a calendar from the artist page
Go to Roster (Artists on Talent Buyer accounts with the venue roster) and click the artist. Or open the artist card's ⋮ menu → More → Google Calendar.
In the sidebar, under Integrations, click Google Calendar.
Click LINK CALENDAR.
Pick Create New Calendar, or pick an existing calendar. You can type to search.
Click SAVE.
Link calendars for several artists at once
Go to Settings → Calendar & Events → Google Calendars and open the Artists tab.
Search for the artist, then click LINK CALENDAR on their row.
Repeat for other artists, then click SAVE once at the bottom.
For more on this page, see Google Calendar.
Changing or unlinking a calendar
When you link or change a calendar, the next five years of the artist's events are copied to the new calendar. Events on the previous calendar stay there.
Click UNLINK, then SAVE, to disconnect a calendar. Nothing is deleted: existing events stay on it. Remove them in Google Calendar if you don't want them.
What a working share needs
The picker lists two things: Create New Calendar, and calendars the Google account connected to your agency owns. That account's main calendar can never be picked.
If an artist shares their own calendar with you, check all of these before you link it:
It's shared with the Google account connected to your agency, not a personal address. The addresses have to match exactly.
The permission is Make changes and manage sharing. Anything lower won't work.
The invitation has been accepted from that Google account's inbox.
My artist's calendar doesn't appear in the list
Ask the artist which email address they shared the calendar with, and compare it to your agency's connected Google account.
Ask them what permission Google shows for that share. If it's lower than Make changes and manage sharing, have them change it and save.
Accept the share from the connected account's inbox.
Reload Gigwell and search the list again.
Artists can follow the article How to Share an Existing Artist Calendar with Your Agency to set up the share.
If you see "No access to calendar"
This means the calendar exists, but your connected Google account hasn't joined it yet.
Created from Gigwell: open the connected account's inbox, accept Google's calendar invitation ("Add this calendar"), then reload Gigwell.
Shared by the artist: have the artist check the address and permission as above, then accept the share and reload.
What can't be used
A calendar can only be linked by sharing it directly with your connected Google address. Public calendar addresses, embed codes and "add by URL" links won't work. Ask the artist for a direct share instead.
Other errors
"Malformed request" when linking Google: go to myaccount.google.com, remove Gigwell's third-party access, then link your Google account again from Gigwell.
A personal calendar shows as shared with the whole team: the wrong calendar is linked. Create a new, dedicated calendar for the artist and link that one instead.
If that doesn't work
Create a test booking with the artist on it and check whether the event appears on their calendar. Make sure the booking has reached your artist publish trigger, or it won't be written yet. If the event appears, the link is working.
If the invitation never arrived, have the calendar owner remove the share and send it again.
If you're not sure which Google account is connected to your agency, or everything checks out and events still don't land, message us from the chat bubble or email support@gigwell.com. Include the artist's name as it appears on your roster and the permission Google shows.
Good to know
Only the account holder can accept a Google calendar invitation. If the connected account is a shared agency mailbox, whoever has access to it needs to accept. It can't be done from inside Gigwell.
If an artist owns several calendars, make sure the one they shared is the one they actually use.
Talent Buyer accounts with the venue roster link venue calendars the same way, from the venue's Google Calendar page or the Venues tab.
