Venue Google Calendar: linking a calendar to a venue

Give each venue its own Google Calendar so its shows and blocked dates appear there automatically.

Written by Antonio Sierra

You can link a Google Calendar to each venue on your roster. Gigwell then adds that venue's events to the calendar for you, so your team can see what's happening at each venue at a glance.

Before you start, make sure your organization's Google account is connected to Gigwell. See Google Calendar.

Link a calendar from the venue page

  1. Click Venues in the top menu and click the venue.

  2. In the sidebar, under INTEGRATIONS, click Google Calendar. Or click ⋮ on the venue's card, then More > Google Calendar.

  3. Click LINK CALENDAR.

  4. Choose Create New Calendar, or pick one of your existing calendars from the list.

  5. Click SAVE.

See all venue calendars in one place

  1. Go to Settings > Calendar & Events > Google Calendars.

  2. Open the VENUES tab. Every venue is listed with its status and a LINK CALENDAR button. Use Search Venues to find one quickly.

  3. Click SAVE at the bottom to save all your changes at once.

The summary at the top of the tab explains what gets written:

  • Bookings: events at that venue, once the booking reaches its publish trigger.

  • Bookingless: added right away, including every blocked date.

  • Shared with: only your organization's Google account. You can share the calendar further from Google Calendar.

Venue calendar options

On the right, Venue Calendar Event Options controls how and when events are written to venue calendars. Venues have their own Publish Trigger (for example Booking Created), separate from artists. You can also set the language and the event title, and choose what each event includes, such as All Day Events, Include Link To Signed Contract and Include Buyer Contact Info. See Google Calendar Event Options.

Looking for your old calendar settings? They used to be on Event Publishing. They now live here, on the Google Calendars page, for each tab.

Good to know

  • When you link or change a calendar, the next five years of events are copied to the new calendar. Events already on a previously linked calendar stay there.

  • If you unlink a calendar, events already on it stay in place.

  • Changes to the options apply as events are created or updated. Events already on a calendar keep their current format until then.
