Google Calendar event options: choosing what your calendar events show

Choose when bookings are written to Google Calendar and which details each event includes, separately for artist, organization and venue calendars.

Written by Antonio Sierra

Event options control how bookings are written to Google Calendar: when they first appear, what the title says and which details are included. Artist calendars, your organization calendar and venue calendars each have their own set, so they can look different.

Where to find the options

In November 2026, these options moved from Event Publishing to the Google Calendars page.

  1. Go to Settings → Calendar & Events → Google Calendars.

  2. Open the Artists, Organization or Venues tab.

  3. On the right, find Artist Calendar Event Options, Organization Calendar Event Options or Venue Calendar Event Options.

  4. Make your changes, then click SAVE at the bottom of the page.

Changes apply as events are created or updated. Events already on a calendar keep their current format until then.

The Venues tab only shows on Talent Buyer accounts with the venue roster on.

Publish trigger

The publish trigger decides when a booking is first written to the calendar.

  • Artists: the trigger is shared with the Artist App, so it's locked here. The page says "Shared with the Artist App. Change it in the event publishing settings." Click that link, or go to Settings → Calendar & Events → Event Publishing, to change it. Changing it also changes when bookings appear in the Artist App.

  • Organization: fixed at Booking Created ("Fixed for this calendar."). Every booking is written as soon as it's created, whatever its status.

  • Venues: venue calendars have their own trigger, set in the Publish Trigger field on the Venues tab.

Bookingless events, such as blocked dates, are added right away. On artist calendars, blocked dates are only added when their reason is visible to the artist in Blocked Reasons.

Language and event title

Each tab also has a Language field and an Event title field. The Event title field shows how the title of each event is built from the booking's details.

What each option does

  • All Day Events: adds bookings as all-day events. Turn it off to add them at their time slot (Door Time).

  • Include Artist Notes: adds the Artist Notes from the booking's Events tab → Notes.

  • Include Link To Signed Contract: adds a link to the fully signed contract. A warning icon next to it reminds you: "Anyone with access to the calendar will see financial info included in the contract." On artist calendars, that includes the artist's owners, managers and members.

  • Include Buyer Contact Info: adds the buyer's name, phone number and email address.

  • Colorize Calendar Entries: colors events by booking status.

  • Include Deal Phrase: adds the deal phrase, for example "Flat Guarantee USD $5000 plus USD $250 Hotel Buyout".

Further down the list are options to add the artist's contact info (stage name, legal title, phone number, email and artist notes), the artist's fee, and the booking's total fee on multi-artist bookings. Scroll the options on each tab to see them all.

Good to know

  • Because each tab has its own options, you can, for example, include the signed contract link on the organization calendar, which is shared only with your organization's Google account, and leave it off artist calendars.

  • Options only change how events look. To change which calendar a booking goes to, link a different calendar on the same page. See Google Calendar.
