Calendar events carry a fixed set of details from the booking. You can control a few options, but you can't add arbitrary fields to the event — so it helps to know what makes it across and where to put everything else.
What syncs to the event
Event name
Venue name and address
Performance time and duration, taken from the Schedule
Buyer and contact information
Native itinerary entries — the ones built inside Gigwell
That's the complete list. Nothing else can be added to a calendar event, so anything extra your artist or team needs to see should go in Artist Notes, which travels with the booking rather than the calendar.
Contract phrases do not sync. They stay on the contract and never appear on a calendar event, however they're worded.
Where to change the settings
Go to Settings.
Open Presets, then Events.
Scroll to the bottom of the page — the calendar event options live there.
Good to know
Times come from the Schedule on the booking, not from the booking's own date field. If an event shows the wrong time or length on a calendar, the Schedule is the thing to fix.
Itinerary entries only sync if they were created natively in Gigwell. Travel documents or itineraries you've attached as files stay as attachments and won't appear on the calendar.
One of the event options can surface a link to the signed contract. Think carefully before switching it on: the setting is agency-wide, so it applies to every event, and anyone with access to that calendar would be able to open the contracts.
