How does calendar sync actually work in Gigwell?

Gigwell is built on top of Google for everything to do with contacts and calendars. Your agency has exactly one linked Google account, and that account is where your contacts and calendars really live. Knowing which direction each thing flows explains almost every surprise people run into.

The three flows, and which way each one goes

  1. Bookings push out to Google — one way only. When you create a booking, the calendar event is written to the connected calendar straight away. No contract, document or signature is needed first. Editing the booking updates the event. Nothing you do inside Google Calendar comes back the other way to change a booking.

  2. Contacts sync both ways, and the return path can't be switched off. Google Contacts can write back into Gigwell. That's why names on contacts — and on contracts — sometimes appear to change on their own: a phone address book or messaging app synced to the linked Google account is editing the same records.

  3. Availability reads back. Holds and blocks on a calendar you've joined show up in Gigwell so you can avoid double-booking.

How fast it is

Calendar writes are effectively immediate. If a booking was created minutes ago and the event isn't on the calendar, that's a linking or roster problem, not a delay — nothing is queued up waiting to catch up.

The one genuine wait in this area is publishing to third-party event listing sites, which can take up to 24 hours.

API and connector (MCP) calls aren't a background sync at all — they read your data at the moment the request is made.

Good to know

An event only lands on an individual artist's calendar if that artist is attached to the booking. Seeing the event on a group or agency calendar tells you nothing about whether it reached the artist's own calendar.

Because there's one linked Google account per agency, whoever controls that login controls your calendar and contact data. It's worth making sure more than one person in your agency can get into it.
