Google Calendar: linking calendars for your artists, venues and organization

Link a Google calendar to each artist, each venue or your whole organization from one page, and see what gets written to each one.

Written by Antonio Sierra

Gigwell writes your bookings to Google Calendar, so your team and artists always see what's coming up. Link a calendar to each artist, one to your whole organization and, on Talent Buyer accounts with the venue roster, one to each venue.

Where did my calendar settings go?

In November 2026, calendar settings moved to a new page.

  • Linking calendars moved from the old Calendars page to Settings → Calendar & Events → Google Calendars.

  • Calendar event options (all-day events, notes, contract link, contact info, fees) moved from Event Publishing to the same Google Calendars page, next to the calendars they apply to. Event Publishing now points you there.

  • The All tab is now called Organization.

  • You can also link an artist's calendar from the artist's own page. See "Link a calendar from the artist page" below.

The Google Calendars page

  1. Go to Settings → Calendar & Events → Google Calendars.

  2. Pick a tab: Artists, Organization or, on Talent Buyer accounts with the venue roster, Venues.

If your account doesn't use the venue roster and the page opens on a Venues tab that says "No venues on this roster.", click the Artists tab.

Each tab starts with a short summary of what gets written to its calendars and who can see them:

Tab

Bookings

Bookingless

Shared with

Artists

Events that artist is on, once the booking reaches its publish trigger.

Added right away. Blocked dates only when their reason is visible to the artist in Blocked Reasons.

The artist's owners, managers and members, and your organization's Google account.

Organization

Every event across your organization, as soon as the booking is created, whatever its status.

Added right away, including every blocked date.

Only your organization's Google account. Share it further from Google Calendar.

Venues

Events at that venue, once the booking reaches its publish trigger.

Added right away, including every blocked date.

Only your organization's Google account. Share it further from Google Calendar.

Link or change a calendar

  1. On the tab, find the artist or venue. On a long list, type the name into the search box.

  2. Click LINK CALENDAR next to the name.

  3. Pick Create New Calendar, or pick one of your existing calendars. You can type to search the list.

  4. Click SAVE at the bottom of the page.

To stop using a calendar, click UNLINK, then SAVE. Events already on it stay there.

The help box on the right sums up the rules (HIDE HELP closes it):

  • Linking or changing a calendar: the next five years of events are copied to the new calendar. Events on a previously linked calendar stay there.

  • Available calendars: create a new calendar, or pick one the connected Google account owns. Its main calendar can't be picked.

  • Changing options: changes apply as events are created or updated. Existing events keep their format until then.

One Save for the whole page

Links, unlinks and event options on every tab are saved together with one SAVE. RESET clears your unsaved changes.

You can't use the same calendar for the organization and an artist.

Choose what the events show

Each tab has its own event options on the right, such as Artist Calendar Event Options: publish trigger, language, event title and which details are included. See Google Calendar Event Options.

Link a calendar from the artist page

  1. Go to Roster (Artists on Talent Buyer accounts with the venue roster) and click the artist. Or open the artist card's ⋮ menu → More → Google Calendar.

  2. In the sidebar, under Integrations, click Google Calendar.

  3. Click LINK CALENDAR and pick a calendar, or click UNLINK.

  4. Click SAVE.

Who has access lists everyone the calendar is shared with. To remove someone, click the delete icon next to them, then click SAVE.

Artist calendars are shared with the artist's owners, managers and members, and your organization's Google account.

Talent Buyer accounts with the venue roster get the same page for each venue: Venues → click the venue → Google Calendar.

Something not working?

If a calendar doesn't show in the list, says you have no access, or won't link, see Linking an artist calendar.
