New artist not showing when creating a booking

I added a new artist but they don't show up when I create a booking

You've added an artist to your roster, but when you start a booking and search for them, nothing comes up. This happens because a roster entry on its own isn't enough — the artist also needs a contact card, and that's created by running the artist and agent import.

Import the contact cards

  1. Go to the Contacts tab.

  2. Click Manage Settings.

  3. Click Import Artists and Agents.

  4. Click Confirm Matches in the dialog that appears.

  5. Go back to a booking and search for the artist. They should now appear in the results.

If that doesn't work

If no dialog appeared at step 4, your contacts index is likely stale:

  1. Refresh the page.

  2. Go back to Contacts → Manage Settings and click Clear Cache.

  3. Run Import Artists and Agents again and click Confirm Matches.

  4. Search for the artist in a booking one more time.

If the artist still isn't searchable after a Clear Cache and a full re-import, this one needs our team — start a chat from the messenger and we'll sort it out. It helps if you mention the artist you're looking for and the Google account linked to your organization.

Good to know

Your roster and your contacts are two separate things. The roster entry is what holds the artist's profile, photo, bio, tags and members. The contact card is the CRM record that makes the artist selectable inside bookings, contracts and invoices. Adding an artist to the roster creates the first, and the import creates the second.

The same import also creates contact cards for the agents attached to your roster artists, so if a new agent isn't selectable on a deal either, this is the fix for both.

It's worth re-running Import Artists and Agents any time you add several artists or agents at once, rather than after each one.
