How to get your bookings and contacts out of Gigwell into a spreadsheet.
Exporting bookings to a spreadsheet
You can pull every booking in your account out as a CSV or a PDF from the Reports tab. The key step is clearing the filters, so the export covers everything rather than just the current date range.
Export your bookings
Go to the Reports tab.
Choose the Bookings report — it's deal-level, one row per booking, with the widest set of columns available.
Click Create New Report.
In the top right, remove every filter. Clear the date range so it covers all time, and clear any agent, artist or status filters.
Click the gear icon and choose Manager/Filters to pick your columns.
Click Create Report to run it.
Download the result as CSV for a spreadsheet, or PDF for something to send or print.
Choosing columns
Add only the columns you actually need. Turning everything on produces a file that can run past 450 columns, which most spreadsheet software will open but few people can work with.
If you're not sure what you'll need, start with the essentials — artist, event date, venue, fee, status, agent — run it, and add more from Manager/Filters if something's missing.
If that doesn't work
Fewer rows than you expect? A filter is probably still set. Go back to the top right and check every one of them, including the date range. If the count still looks short, build the same report fresh from Create New Report and compare — see the article on saved reports returning fewer rows.
Want event-level rather than deal-level data? Run the Events report instead. Bookings gives you one row per deal; Events gives you show-level detail including advancing and logistics.
Good to know
Set date columns to Date Short (YYYY-MM-DD) under Manager/Filters before exporting. It's the format that sorts chronologically in your spreadsheet as well as in Gigwell.
Save the report once it's set up the way you like it. Re-running a saved export is a couple of clicks, and you can change the date range each time without rebuilding the columns.
Contacts work differently — they aren't stored in Gigwell and there's no contacts-only export. See the article on exporting contacts.
Exporting contacts to a spreadsheet
There's no contacts export in Gigwell, and that's because your contacts aren't stored in Gigwell in the first place. They live in the Google account your agency is connected to, so the export is done from Google Contacts.
Export your contacts
Check which Google account your agency is connected to. This is the account set up for the Gigwell connection, which may not be the one you use day to day.
Sign into Google Contacts in a browser, making sure you're signed into that agency account and not a personal one.
Use Google Contacts' own Export option to download your contacts as a CSV.
If the export comes out empty or looks like someone else's address book, you're almost certainly signed into the wrong Google account. Sign out, sign back in with the agency account, and try again.
Getting Gigwell-specific contact fields
Some fields you fill in on the Gigwell side — tax and VAT identifiers, for example — have no equivalent in Google Contacts, so they won't appear in that export at all.
To capture those, run a Bookings report instead:
Go to the Reports tab and choose the Bookings report.
Click Create New Report.
Remove every filter in the top right so the report covers all time.
Open the gear icon > Manager/Filters and add the contact fields you need.
Click Create Report and download as CSV.
If that doesn't work
Be aware of what that Bookings export gives you: it's booking-level, so a contact appears once for every booking they're attached to rather than once in total. With every column added the file can run past 450 columns. Add only the fields you actually need, and de-duplicate in your spreadsheet afterwards.
If you're not sure which Google account your agency is connected to, start a chat from the messenger and we'll take a look.
Good to know
Because contacts live in Google, changes you make in Google Contacts are the ones that carry across. There's no separate contact list to keep in step inside Gigwell.
The Bookings report is the only route to Gigwell-specific contact fields today. There's no way to export those as a clean one-row-per-contact list.
