Using the Contacts Tab

Find, group, and export your contacts, and understand people vs. company contacts in Gigwell.

The Contacts Tab

The Contacts tab holds every contact you create in Gigwell. Your contacts are synced with the Google account connected to your agency, so changes you make in Google Contacts appear in Gigwell and vice versa.

People vs. Company Contacts

There are two types of contacts:

  • People (person icon): individual contacts such as buyers, promoters, and artist members.

  • Companies (building icon): organizations such as venues, promoters, and your own agency.

Click any contact to see how it is associated with other contacts. For example, you will see yourself listed as a member of your agency with your role.

Why artists appear as companies

Artists on your roster are treated as companies because several people are usually associated with an artist, such as band members, management, and other representatives.

Contact Groups

Your groups

Use the groups on the left to organize contacts, for example all of your local jazz artists or all buyers in a region. Select a group to see its members.

System groups

Gigwell also creates system groups automatically, based on your bookings and the groups in your connected Google account.

Copying Contacts for Email or Marketing Tools

  1. Select a group.

  2. Click Copy to Clipboard.

  3. Paste the contacts into your email client, or into a marketing tool such as Mailchimp to build a list.

Searching and Creating Contacts

Use the search at the top to find contacts, including artists. Click New to create a person or company contact.

Refreshing Your Contacts

If recent changes from Google are not showing, use the clear cache option in the Contacts tab to refresh and re-sync your contact data.

Creating New Contacts

When you create a contact you must distinguish if they are a person or an organization.

To Create a New Contact

  1. Goto Contacts in your navigation bar

  2. Click Add Contact

  3. Choose if your contact is a Person or Organization (for more details on roles in Gigwell visit this article)

  4. At the bottom of the form you can add your new contact to an existing Group or start typing to create a new Group

  5. Use the Memberships field to link this contact to another contact (for example: Sean Combs would be linked to the artist / organization Puff Daddy)

To Add or Edit Groups

  1. Click (+) in the left hand Groups column to add a new Group

  2. To edit a group Click the Pencil icon in the left hand Groups column

Note: Make sure you click Save at the bottom of the page after making any changes.

Recovering missing contacts

If your entire rolodex has emptied out, the usual cause is a change to the linked Google account. Your contacts live in that account, so unlinking it or switching to a different one takes the contacts with it.

Get them back

  1. Check which Google account is currently linked to your organization, and whether it was recently unlinked or switched.

  2. If you still have access to the original account, relink it. Your contacts come back with it.

  3. Go to Contacts → Manage Settings, click Clear Cache, then click Import Artists and Agents and Confirm Matches to rebuild the index.

If you no longer have access to the original account, you'll rebuild the rolodex in the new one:

  1. Export the old account's Google Contacts.

  2. Import that export into the Google Contacts of the account now linked to Gigwell.

  3. Run Contacts → Manage Settings → Import Artists and Agents → Confirm Matches in Gigwell.

Bringing back buyer and venue contacts

Your artist and agent contacts return through the import above. Buyer and venue contacts attached to existing bookings come back the same way, or you can add them one at a time from a booking: open the booking, go to the Change tab and use Add Contacts.

Good to know

Your bookings, contracts and invoices are not affected by this. The records themselves stay intact — it's only the contact layer that follows the Google account, so nothing financial or contractual is at risk while you sort the rolodex out.

Before you re-import, de-duplicate by email in Google Contacts. Every Gigwell contact needs a unique email address, and duplicates carried over from an export are the most common source of the "Attempting to map an already mapped contact" error.
