If you edit a contact's name or email address and the old value reappears a little later, or messages keep going to an address you already corrected, nothing is broken. This is the single most common thing people report as a bug in Gigwell, and there's a specific way to make the change stick.
Is it an artist on your roster?
Artists on your roster work differently. Each artist can be linked to a Google contact, and the two keep each other's Name, Legal name, Email, Phone numbers and Addresses up to date.
Go to Roster (Artists on Talent Buyer accounts with the venue roster), click the artist, then click Basic Info in the sidebar.
Correct the name or email and click SAVE. The change is copied to the linked contact shown in the Linked Google Contact panel.
If the panel shows Google Contact not in sync, click SYNC and pick Profile or Google Contact for each field. The version you pick overwrites the other one, and sync can't be undone.
If the artist's old name or email comes back after you save, don't delete anything. Message us from the chat bubble or email support@gigwell.com and we'll look into it.
For any other contact, such as a buyer, promoter or venue contact, read on.
Why the old value comes back
When a contact is created in Gigwell, it's mapped to a matching Google Contact, and that mapping is fixed for the life of the record. The mapping is deliberate: it protects the original record and prevents accidental overwrites or data loss in Gigwell if a Google Contact is edited or synced unexpectedly.
The side effect is what you're seeing. When you edit a contact inline, from inside a booking or from the Contacts tab, the edit updates the mapped Google Contact only. The original Gigwell contact record stays exactly as it was, so the old name or address appears to come back, and the record keeps sending to the old address.
Don't delete the contact. Contact records are shared across every booking they appear on. Deleting one removes it from every booking, document and invoice it's attached to. It doesn't correct anything, and it isn't cleanly reversible.
How do I change a contact's name or email?
You'll need the contact's original name and email: the values it was first created with in Gigwell, not the ones currently showing.
Open the contact and revert it to its original name and email.
Create a brand-new contact with the updated name and email.
Add the new contact to your bookings in place of the old one.
That leaves the original contact and its mapping intact, and the new contact gets a fresh mapping of its own, so the updated details hold.
If you don't know the original values
Open the contact and check its creation date.
Look at the bookings that contact is on, starting with the oldest. Older bookings, contracts and documents often still show the original name and address.
If that doesn't surface the original values, don't change anything on the contact yet. An incorrect revert can't be undone from your side. Message us from the chat bubble first, and we'll retrieve the original record for you.
The buyer's name or email is wrong and my edit keeps reverting
For a buyer, promoter or venue contact on a booking with a contract, correct the contact first, then put the corrected contact on the contract:
Open the contact and set the name and email back to the original values.
Create a brand-new contact with the corrected name and email.
Go back to the booking and open the Contract tab.
Click Retract to pull the contract back. Retracting invalidates every signing link already sent, so tell your signers a new one is coming.
Click Manage Documents & Signers and select the corrected contact.
Regenerate the contract and send it again.
Correct this before a contract goes out where you can. Once documents are in circulation, your signers can get confused about which email is the live one.
My emails keep going to an old address I already corrected
An artist on your roster: check the artist's Basic Info and the Linked Google Contact panel. If they differ, use SYNC to keep the right address.
Anyone else: the inline edit didn't take. Follow the revert-and-recreate steps above, add the new contact to the booking in place of the old one, then send again.
If mail still goes to the old address after that, the mapping itself needs removing, which we do from our side. Message us from the chat bubble or email support@gigwell.com with both the correct address and the one it keeps falling back to.
Good to know
The old contact stays in your account and stays attached to anything historical. That's intentional: past documents and invoices keep pointing at the record they were issued against.
Every contact needs a unique email address. If the new details reuse an address that already exists in your contacts, you'll get a mapping error when you create the new card.
If an artist's name or email changes on the roster and on their Google contact at the same time, that's the artist sync working, not a bug. See Artist names and contacts changing on their own.
Watch for this if your contacts sync from an outside CRM, phone or mail account. An outside system can overwrite a record and bring back an old address after you've fixed it.
If an address never saved in the first place, that's usually about where it was entered. See the article on an artist member's email that won't save.
