If names on your contacts, artists or contracts change without anyone in your agency touching them, the contact sync is usually doing exactly what it's built to do. Contacts sync both ways between Gigwell and your agency's connected Google account, and the return direction can't be switched off.
Why it happens
Your contacts really live in the connected Google account. Anything else connected to that same Google account can edit those records, and those edits come back into Gigwell. In practice the cause is nearly always one of these:
A phone address book synced to the connected Google account.
A messaging or contacts app signed in to that account, tidying or auto-merging entries.
A second person working in Google Contacts directly.
Artists on your roster now sync with their Google contact
In November 2026, artists on your roster and their linked Google contact started keeping each other up to date. They share Name, Legal name, Email, Phone numbers and Addresses.
Save the artist's Basic Info, and the changes are copied to the linked contact.
Save the linked contact in Gigwell, and the changes are copied to the artist.
So if someone edits an artist's contact, the artist's name or email on the roster can change too. That's expected.
A value is only copied where the other side still has the old value or is empty. If the two sides hold different values, nothing is overwritten. Instead, the artist's Basic Info shows Google Contact not in sync. Click SYNC and pick Profile or Google Contact for each field that differs. The version you pick overwrites the other one, and sync can't be undone.
What to do
List every device and app signed in to your agency's connected Google account. If you're not sure which account that is, message us from the chat bubble and we'll tell you.
Turn off contact syncing for that account on personal phones, and disconnect messaging or contact-cleanup apps from it.
Treat the connected Google account as agency infrastructure. It isn't a good account to sign in to on a personal device.
When a lineup needs to change on a booking, swap the artist from the booking's Change tab rather than editing a contact card. Editing the card doesn't do what people expect.
If you need to actually change a name or email
An artist on your roster: correct it on the artist's Basic Info and click SAVE. The change is copied to the linked contact. If the Google Contact not in sync warning appears, use SYNC to choose which value to keep. If the old value comes back later, don't delete anything; message us from the chat bubble.
Any other contact (buyers, promoters, venue contacts): editing the contact inline only updates the mapped Google Contact, so the old value can reappear. Follow the revert-and-recreate steps in Correcting a contact's name or email instead of editing the card in place.
If that doesn't work
If your contact list looks stale, refresh it: go to Contacts, open Manage Settings and choose Clear Cache. That reloads the list without changing any data.
If a contact stays stuck to the wrong Google record after all of the above, that mapping has to be cleared for you. Message us from the chat bubble or email support@gigwell.com and we'll sort it out.
Good to know
There's no outbound-only mode for contacts, so controlling what's connected to your Google account is the real fix. Calendars work differently: bookings go out to Google one way only, and nothing you do in Google Calendar changes a booking.
