When a team member leaves, you deactivate them rather than deleting them. Deactivating keeps their history on the bookings they worked on and frees their seat so a replacement can use it at no extra charge.
Deactivate, then add the replacement
Go to Settings → Manage Subscription → Agents.
Find the person in the list.
Click the blue check next to their name to deactivate them. The seat is now free.
Click Add Member and enter the replacement's name, email and role.
Save. The new person gets a credentials email and sets their own password.
Doing it in that order matters. If you add the replacement first and deactivate afterwards, you've briefly added a seat and a pro-rated charge applies for it. Deactivating first means the swap costs nothing.
If that doesn't work
If clicking the blue check does nothing, or the page won't let you add another member even though a seat should be free, message us from the messenger and we'll take care of it. Let us know which user it is and which role the replacement needs.
Good to know
Deactivating is not the same as deleting. Their name stays attached to past bookings, contracts and invoices so your records stay intact.
If the person had bookings in progress, reassign those before or after deactivating — deactivating doesn't move them.
A roster member can't be removed from a booking once invoices have been issued against it. Void those invoices first.
If someone who no longer works with you is asking to have their old login re-enabled, message us from the messenger rather than reactivating them, and we'll sort out the right access.
