The Roster Management settings in Gigwell allow you to manage your artists, assign agents and assistants, control visibility, and fine-tune access to bookings. Follow the steps below to navigate and configure your roster effectively.
Accessing Roster Settings
Click on your name in the top-right corner of the platform.
Select Settings from the dropdown menu.
On the right-hand side, under your agency name, click the Settings button inside the agency panel.
In the left-hand navigation menu, click on Roster.
Artist Profile Overview
Within the Roster section, you'll see a list of all your artists. Click on an artist name (not the checkbox) to open the artist profile. You'll find three main tabs:
1. Artist Members
This tab is where you manage access for artist-side personnel:
Invite artist members, managers, tour managers, or other team members.
Assign roles and permissions.
Resend invitations or connect personal Google Calendars.
💡 Tip: If you need to share calendar access with an artist or their team, make sure their Google Calendar is connected.
2. Agents & Assistants
This is where you assign agency-side personnel:
Assign a Responsible Agent for the artist.
Add Assistants to help manage that artist’s bookings.
All assigned agents and assistants will be looped into communication related to bookings for that artist.
3. Settings
This tab includes key configuration options for each artist:
Active, Can Be Booked
ON: The artist is active and bookable.
OFF: The artist is deactivated. They will no longer be bookable or visible in embedded rosters or booking forms, but all historical data will remain on your account.
Visible on Roster
ON: Artist is shown on public roster.
OFF: Hides the artist from public roster.
Enable "Book Now"
ON: Displays the “Book Now” button on the artist profile, includes the artist in the booking form dropdown, and ensures the artist appears in the booking form even if they are not visible on the public roster.
OFF: Removes the “Book Now” option from the artist profile and hides the artist from the booking form dropdown.
Only Assigned Agents and Assistants Can View Bookings
ON: Only the users listed under the Agents & Assistants tab can view and manage bookings for this artist.
OFF: Anyone in your agency with appropriate permissions can access bookings for this artist.
Best Practice: Keep this OFF unless you need to restrict access to certain team members.
Additionally, you can click "Settings" to adjust various artist settings. This includes deactivating artists you no longer represent, hiding them from the roster page, enabling or disabling the Book Now button on their profile, adding tags, and assigning agents and assistants if needed to restrict the roster.
