Artist assets: storing riders, photos and legal documents

Keep each artist's general and legal files on their Assets page and attach them to bookings without uploading again.

Written by Antonio Sierra

Artist assets are files saved on an artist's page to help with pitching, advancing and paperwork: press kits, photos, stage plots, riders, contracts and tax forms. Once they're saved, you can attach them to any booking with that artist in a few clicks.

Open an artist's assets

  1. Click Roster in the top navigation.

  2. Click the artist, then click Assets in the sidebar. Or open the artist card's ⋮ menu and click Assets to go straight there.

The page has two tabs: General Assets and Legal Assets.

Don't see the Assets tab? Contact support@gigwell.com.

Add assets

  1. Pick the General Assets or Legal Assets tab.

  2. Click Select or Drop Assets and choose files, or drag files onto it.

Changes to assets save right away. There's no Save or Reset button on this page.

Which tab to use

  • General Assets: promotional and technical materials used to present or advance the artist, such as press kits, photos, logos, stage plots and technical riders.

  • Legal Assets: admin and compliance documents for bookings, such as contracts and tax forms (W-9, W-8 and so on). Legal assets are private and never appear on public profiles.

Attach assets to a booking

You don't need to download and upload assets again for each booking.

  1. Open a booking with the artist on it.

  2. In the message, contract or document you're preparing, click Add Attachments.

  3. Open the ASSETS tab. The artist's assets are grouped under their name, split into General and Legal.

  4. Tick what you need and click ADD SELECTED.

Only the agents and assistants on the booking see the ASSETS tab. See Attachments for details.

Venues on Talent Buyer accounts

With the venue roster on, each venue has the same Assets page: go to Venues, click the venue, then click Assets. Venue assets also show in the ASSETS tab on bookings at that venue. See Roster assets (Talent Buyer).

Tips

  • Use clear file names so teammates can find the right version fast.

  • Keep one current version of each recurring document, like the tech rider or stage plot, and remove outdated files.

  • PDF, JPG and PNG files are the easiest to preview and share.

FAQ

  • Who can upload assets? Team members who can edit the artist.

  • Can I replace a file? Yes. Remove the old file and upload the new one in the same tab.

  • Who can see legal assets? Legal files such as passport photos, W-9s and other tax documents are private and never appear on public profiles.
