Gigwell has two separate user systems, and almost every "I can't find that role" question comes from looking in the wrong one. Read this first if you're about to give somebody access.
The two systems
Agency members are your own team — the people who work at your agency or company. Each one uses a paid seat on your plan. The roles are:
Agent Owner — full agency visibility: all bookings, financials and analytics.
Agent — their own bookings and their own analytics.
Assistant — a support-level role, more limited than Agent.
Reporting — oriented to reading and reporting.
Logistician — on talent-buyer accounts only, for event logistics with financial and contractual data withheld.
You manage these under Settings → Manage Subscription → Agents. That page is usually called the Members page.
Artist members are people attached to a single artist on your roster — the artist themselves, their tour manager, their publicist. They don't use a paid seat, and they only ever see that one artist. The roles are:
Artist Owner
Artist Management
Artist Member
Artist Associate
Artist Affiliate
You manage these under Settings → Roster, by opening the artist and going to their Members tab.
How to choose
Decide what the person actually needs to do, not what role title sounds right.
If they need to enter deal information, issue contracts or invoices, or be named as an agent on a booking, they need a paid agency seat. There's no way around that with an artist role.
If they only need to see and work with one artist's shows, logistics and documents, use an artist role. It costs nothing.
If they need to read agency-wide figures, that's the Agent Owner role.
Good to know
The artist roles don't appear anywhere on the agency Members page, and the agency roles don't appear in an artist's Add Members form. That's expected — they're different lists.
One person can exist in both systems if they genuinely need both, but they'd be two separate logins on two separate email addresses.
Adding an agency member uses a seat and a pro-rated charge applies. Adding an artist member doesn't.
Adding band and team members to an artist
Applies to agency plans. Artist Essentials accounts don't have multiple agent users.
Go to Roster and open the artist.
Click Add Member.
Enter the member's name and email, and choose a role.
The Artist Member role does not include financial or payment access. The Artist Owner role does, so assign it carefully.
