Managing Artist Rosters

Find, filter and open your artists, change several at once in Manage Roster, and choose how the roster looks.

Written by Antonio Sierra

Your Roster tab is where you see, find and manage every artist your agency represents. Each artist also has their own page with all of their settings in one place.

Find artists on your roster

  1. Click Roster in the top navigation.

  2. To search, type in Search artists, tags.... You can search by name, location, genre, label or tag.

  3. To filter by a tag, click the tag on any artist card. A filter chip (for example DJ ×) appears above the grid. Click × to clear it.

  4. To switch views, click the grid or list icon next to the search box. Gigwell remembers your choice, just for you.

Add an artist

  1. Click the + icon at the top right of the roster.

  2. In CREATE ARTIST, type the artist's stage name in Artist Title (required).

  3. Optional: add a Profile Image (a square image, at least 200 × 200 pixels).

  4. Check the right side before you create. Artists on your Roster helps you spot an artist you already have, and Suggested Artists shows matches once you type at least 3 characters.

  5. Click CREATE.

To add many artists at once, use Bulk Import on the roster ⋮ menu.

The roster ⋮ menu

Click the ⋮ at the top right of the roster for:

  • Manage Roster: select several artists and change them together.

  • Roster Settings: settings for the whole roster, including how it looks.

  • Bulk Import: add a list of artists at once.

  • Take the tour: replay the product tour.

The menu also has Sort Roster.

The card ⋮ menu

Each card has its own ⋮ menu that goes straight to one of the artist's pages: Artist Members, Assignments, Assets, Basic Info, Edit Profile, Roster Settings and Share.

More opens the rest: Bandsintown, Commission, Embed Gigstream, Embed Profile, Google Calendar, Invoice Presets, Resources and Remove from Roster.

The artist page

Click an artist to open their page. It opens on Preview Profile. The sidebar lists every page for that artist:

  • Artist Members: the artist's own team (managers, tour managers, members).

  • Assignments: the agents and assistants who work with this artist.

  • Assets, Basic Info, Preview Profile, Edit Profile

  • Roster Settings: Active, can be booked, Visible on Roster, Enable Book Now, Only assigned members can view bookings, and the artist's Roster Tag field.

  • Remove from Roster

  • INTEGRATIONS: Bandsintown, Google Calendar

  • EMBEDS: Gigstream and Profile (these open a separate page)

  • OTHER: Commission, Invoice Presets, Manage Roster

Use the previous and next arrows at the top right, or the ← and → keys, to move through artists in roster order. Press Esc to close the page. The keys don't work while you're typing in a field.

For editing the profile and basic info, see Artist Profile Settings and Customization.

Change several artists at once (Manage Roster)

  1. Click the roster ⋮, then Manage Roster.

  2. Tick the artists you want to change, or tick Select all. The panel on the right shows how many are selected, with Select All and Unselect All links.

  3. Change them together:

    • MANAGE TAGS: add or remove tags the selected artists have in common.

    • ACTIVE, CAN BE BOOKED, VISIBLE ON ROSTER and ENABLE BOOK NOW: update that setting for all selected artists.

    • ASSIGN AGENT, ASSIGN ASSISTANT and REMOVE MEMBER: manage assignments for the selected artists.

    • REMOVE: remove the selected artists from the roster.

The old Roster (old) admin page has been removed. Any old links or bookmarks now open Manage Roster.

Roster Settings

Click the roster ⋮, then Roster Settings. You can also open these settings from Manage Roster.

ROSTER SETTINGS has switches for the whole roster: Show inactive artists by default, Enable booknow for newly added artists, Agents can manage assignments, Only assigned members can view bookings, Agents and Assistants can view restricted bookings through 'Show Booking' in Calendar Stream/View, and Agents and Assistants can edit restricted bookings.

ROSTER PAGE sets how the roster looks:

  1. Under Look, choose CARDS or CIRCLES (the classic view).

  2. Under Card lines, switch on up to 3 of Tags, Genres, Location and Labels, then drag them into the order you want. Turn on Show Tags and Genres on one line to put both on the same line.

  3. Click SAVE.

The look and card lines change the roster for everyone in your organization, not just for you.
